Four ways of charging
Software for dance schools and movement studios usually charges in one of four ways: a flat subscription, a fee per active student or user, a fee based on monthly bookings, or a commission on payments taken through the system. Some providers combine them, for example a subscription plus separately billed text messages.
Each model grows differently with your school. A per-student fee depends on headcount, a per-booking fee on the number of bookings and a commission on turnover. A flat subscription is predictable but is often the most expensive option for a small school.
- Subscription: the same amount every month, often in several feature tiers.
- Per student or user: the amount depends on how many people are active that month.
- Per booking: you pay for bookings above a free allowance.
- Commission: a percentage of customer payments processed by the system.
Sample prices on the Polish market
According to the providers’ published price lists (as of 2 October 2026): Vibeclass’s Vibe Flow plan costs from PLN 49 net per month at a promotional price, with 20 users included and a fee for each additional active user; the 14-day trial starts after a product presentation. Fitssey charges nothing up to 50 bookings a month and lists prices from PLN 29 net per month above that.
Net prices are subject to 23% Polish VAT. Price lists change and promotions can be temporary, so check the current offer on the provider’s website and ask for a quote based on your school’s students and classes.
Work out the cost for your school
Before comparing offers, gather three numbers: how many students are active in a typical month, how many groups you run each week and what share of payments goes through online payment. For example, a school with 10 groups of 12 people meeting once a week has about 120 active students and more than 500 bookings a month.
At these numbers the pricing model matters more than the starting price. A limit of 50 bookings a month covers roughly one group meeting once a week, and a per-student fee grows with every new sign-up. Also work out the cost for your busiest season.
Costs that are easy to overlook
Online payments always cost something: the payment provider charges a fee on every transaction, regardless of the software subscription. Under Stripe’s standard pricing for Poland this is 1.5% + PLN 1 for EEA cards, 1.6% + PLN 1 for BLIK and 1.9% + PLN 1 for Przelewy24. Some software adds its own commission on top.
Also check whether text messages, an app with your school’s logo, data migration, staff training and support are included. Some providers charge for them separately.

What Studio costs
Studio is free: no subscription, no per-student fee and no commission on bookings or payments. The school pays only Stripe’s fees for passes bought online, under its own agreement with Stripe. Cash and bank transfer payments are recorded in the dashboard at no extra cost.
Free software still has to handle the daily work. Studio covers schedules with conflict checks, online booking with capacity limits, passes, attendance, room rentals and team roles. It does not yet offer an app-store app, text messages or invoicing. If you need them, factor that into your choice.
